Who we are and our role
These services are provided by HUMAN-AI-Z Nexus Technologies Limited (“HumanAIZ Nexus”, “we”, “us”), a company registered in the Dubai International Financial Centre (DIFC), Commercial License No. CL13581, at Innovation One, Level 3, DIFC, Dubai, UAE.
For your account, subscription and contact details, and for enquiries made through this website, we decide how and why the data is used — we are the controller.
For the business records a customer enters into Integrate Tax — its ledgers, invoices, bills, customers and suppliers, tax-return data and, where the HR and payroll modules are used, employee records — the customer is the controller, and we process that data on the customer’s behalf and instructions, as its processor. The customer is responsible for having a lawful basis to use that data and for informing its own employees, customers and suppliers.
Information we collect
Depending on what you use, we collect:
- Website: the name, email address, company and message you type into the contact form, and basic technical data (IP address, browser and device type, pages requested) recorded in server logs.
- Your Integrate Tax account: username, email address and password (stored only in hashed form), your role and permissions, and the company details you add — such as registrations, tax numbers, address, currencies and fiscal year. If you sign in with Google, we receive the name and email address that Google shares with us.
- Security records: sign-in and registration events with their time, IP address, browser and device details and location, and security events, used to protect accounts.
- Customer content: accounting and tax records — journal entries, invoices, bills, the chart of accounts, tax-return working papers, customer and supplier details, items, bank and payment references — and the documents, images and files you upload or attach. Where the HR and payroll modules are used, this includes employee names, pay, statutory contributions and related records.
- Mailbox access you set up: if you connect a mailbox for invoice collection, we read the messages received in that mailbox to import the invoices attached to them.
- Mobile app: the photos or files you choose to attach (for example a document you scan), and the data the app keeps on your device for offline use — your profile, company details, parties, products, sales and purchase invoices, expenses and payments, and changes waiting to sync.
How we use personal data
We use personal data to:
- provide, secure and support Integrate Tax, the mobile app and this website;
- create and manage accounts, subscriptions and billing;
- run the AI-assisted features you use (see section 4);
- send service messages — sign-in and password emails, reminders and notices about changes;
- answer enquiries and requests;
- detect, prevent and investigate misuse, fraud and technical problems;
- improve the service; and
- comply with legal obligations and respond to lawful requests.
Where the law requires a legal basis, we rely on performing our contract with you or your organisation, our legitimate interests in running and securing the service, compliance with legal obligations, and your consent where we ask for it (you can withdraw it at any time). We do not sell personal data, and we do not use it for third-party advertising.
AI-assisted features
Integrate Tax uses artificial intelligence to read scanned documents (OCR), suggest account coding and tax treatment, import and classify entries, review financial statements and answer questions in its assistant. When one of these features runs, the content it needs — for example the text or image of a document, transaction descriptions, amounts and account names — is sent to an AI provider for processing, and the result comes back to your workspace.
This processing is carried out by third-party AI service providers acting for us. Which provider handles a request depends on the feature and on how the service is configured at the time, and each provider processes the content under its own terms.
AI output is a suggestion. It can be wrong or incomplete and must be reviewed by the user — see our Terms of Service. Integrate Tax does not give tax advice.
Who we share data with
We share personal data only as needed to run the service, with:
- infrastructure and hosting providers that run our servers and network;
- the third-party AI service providers described in section 4, when an AI feature is used;
- Brevo, which delivers the emails we send — from the website contact form and from Integrate Tax;
- Google, when you choose Google sign-in, install the app from Google Play, or use Google services inside Integrate Tax such as translation;
- Zoho, only if your organisation connects its Zoho account to Integrate Tax;
- other users in your own workspace, according to the roles and permissions your organisation sets; and
- professional advisers, regulators and public authorities where the law requires it, and a successor to our business in a merger or sale.
When you follow a link to WhatsApp or play an embedded YouTube video, that service’s own privacy terms apply. Videos on this website load only after you press play.
International transfers
Our providers, and the infrastructure behind them, may be located outside the UAE and the DIFC. Where the law requires it, we use a recognised transfer mechanism or safeguards before personal data is transferred.
How long we keep data
We keep personal data for as long as it is needed for the purposes in this policy:
- Website enquiries: as long as needed to deal with the enquiry, and for a reasonable period afterwards.
- Account data: while the account is active, and for a reasonable period afterwards unless the law requires longer.
- Customer content: for the life of the customer’s subscription. Accounting and tax laws typically oblige customers to keep their records for several years — in the UAE, for example, five years for VAT records and seven years for corporate tax records. For that reason customer content is not deleted while the subscription is active, and after it ends the customer can ask us in writing to return or delete it.
How we protect data
We protect personal data with measures that include:
- encrypted connections (HTTPS) for this website, Integrate Tax and the mobile app;
- passwords stored only in hashed form, and a sign-in “remember me” cookie marked Secure and HTTP-only;
- a separate database for each customer company, so one company’s records are not held with another’s;
- role-based permissions, so users see only what their organisation allows; and
- rate limiting on sign-in and on the website contact form.
No system is completely secure. If a personal data breach affects you, we will notify the affected customer and, where the law requires, the relevant authority, without undue delay.
Cookies and local storage
This website does not use advertising or analytics cookies. It stores only what it needs to work:
- a NEXT_LOCALE cookie, which remembers your language choice;
- your browser’s local storage, which remembers your light or dark theme choice; and
- your browser’s session storage, which remembers that you dismissed the recruitment notice, for that tab only.
Integrate Tax uses a session cookie to keep you signed in and, if you choose “remember me”, a cookie that lasts up to 30 days. Both are needed for sign-in; clearing them signs you out.
Your rights
Depending on the law that applies to you, you may have the right to access your personal data, have it corrected or erased, restrict or object to its processing, receive it in a portable format, and withdraw consent you have given. To use any of these rights, email us at the address below. We may need to verify your identity first, and we reply within the time the law requires.
If your data sits in a customer’s Integrate Tax workspace — for example you are an employee, customer or supplier of one of our customers — please contact that customer first, as it decides how the data is used. We will help the customer to respond.
You can also complain to the Commissioner of Data Protection at the DIFC, or to the data-protection authority in your own country.
Applicable data-protection law
We handle personal data in line with the data-protection law that applies to us. As a company registered in the DIFC, that is the DIFC Data Protection Law (DIFC Law No. 5 of 2020). Where they apply to a customer’s data, we also take account of the UAE federal data-protection law (Federal Decree-Law No. 45 of 2021) and the laws of the other countries where our customers operate.
Children
Our services are business software and are not directed at anyone under 18. We do not knowingly collect personal data from children.
Changes to this policy
We may update this policy. The date at the top shows when it last changed. If a change is material, we will tell account holders by email or in the service before it takes effect.
